Privacy is important, we know that you care about how your personal data is used. We respect and value the privacy of all our customers and suppliers and will only collect and use personal data in the following ways, which is a way which Is consistent with our obligations and your rights under the law.

WHAT DOES THIS NOTICE COVER?

This privacy notice explains how we use your personal data, how it is collected and how it is held and processed. This policy covers all personal data held by Hackthorn Farms, Hackthorn Estate and The Trustees of the Hackthorn Settlement.

WHAT IS PERSONAL DATA?

Personal data is defined by the General Data Protection Regulation (EU Regulation 2016/679 – the ‘GDPR’) as ‘any information relating to an identifiable person who can be directly or indirectly identified in particular by reference as an identifier’.

Personal data is in simpler terms, any information about you that enables you to be identified.  Personal data covers obvious information such as your name and contact details.

THE PERSONAL DATA THAT WE HOLD, THE REASON FOR COLLECTING THIS DATA AND HOW THIS DATA IS STORED IS SET OUT BELOW:

  • NAME AND PHONE NUMBER  - To be able to contact customers and suppliers for core business purposes.  Never Marketing.  This information is stored on our business operating programme which is password protected on each PC.  Some staff have numbers stored on their mobile phones at the authority of the person giving the number and the authority of management to allow certain staff to hold phone numbers.  All mobile phones are password protected.  Invoices are kept in accessible files for quick reference in an office only accessible to staff.
  • EMAIL ADDRESSES/PRIVATE OR PERSONALISED WORK – To be able to contact customers/suppliers for core business purposes.  Never Marketing.  This information is stored on  our business operating programme which is password protected on each PC.  Some staff hold emails on their mobile phones, at the authority of the person giving the details and authority of management to allow staff to hold these details.  Job cards are kept in accessible files for reference in the office only accessible to staff.
  • BANK DETAILS – To be able to PAY supplier invoices.  These are held on our banking system, which is password protected and highly restricted.
  • ADDRESS – For Core Business purpose for invoicing and remittance purposes.  This information is held on our business operating programme which is password protected on each PC.  Invoices are kept in accessible files for reference in an office only accessible to staff.

You have the right to know what information we hold about you and  you do have the right to have your information removed.   The information that we hold is purely for core business purposes and used to be able to carry out day to day customer requests.  Your information is never used for Marketing or sold to any third parties.  Back ups of all electronic details are done daily.

We will store your information as outlined above and for the reasons stated, but if you required it to be removed please file a request for this to happen and the reasons for the removal.

If we do not hear from you we will assume that you are happy for us to carry on holding the information we hold in the manner that we hold it.
